Refrigerated transport

Fleet compliance software for refrigerated transport.

Two things have to survive the journey: the vehicle's compliance record, and the load. Most fleets keep them in different places.

A temperature-controlled operator carries the whole of a haulier's obligation and then a second one on top. The licence asks whether the vehicle was fit and the driver entitled. The customer, and food safety law, ask what the load was held at and whether anyone would know if it had not been.

The failure modes are different, too. A roadworthiness defect takes a vehicle off the road; a fridge unit failure destroys the consignment and the customer relationship in one afternoon. The unit is the part of the vehicle doing the commercially critical work, and it is the part a standard inspection regime pays least attention to.

The problem

What makes refrigerated transport compliance hard

  • The fridge unit is a second vehicle

A transport refrigeration unit has its own running hours, its own service schedule and its own failure history, none of which track the vehicle's mileage or its inspection interval. Serviced on the vehicle's clock, it is serviced on the wrong clock, and the first sign is a load arriving warm.

  • Compliance records in one place, temperature records in another

Inspection sheets and defect reports live in the maintenance system; temperature traces live in the telematics or the recorder on the unit. When a customer queries a delivery or an incident needs reconstructing, somebody assembles the story from two systems that do not share a vehicle identifier.

  • Doors, seals and insulation nobody inspects

Curtain and door seals, insulation, drains and airflow are what the unit is fighting against, and they degrade quietly. They are rarely on a standard safety inspection sheet because they are not roadworthiness items, so nothing routinely prompts anyone to look.

  • Night loading, early starts, thin checking

Chilled distribution runs to delivery windows set by somebody else, with vehicles leaving before anyone is in the office. The walkaround competes with a departure time, and the fridge pre-cool competes with it too.

  • Customers who audit you

Retail and food service customers impose their own standards and audits on top of the licence, and they ask for the evidence in their format. The underlying records are the same ones DVSA would want; the work is producing them twice.

The answer

How FleetOptix helps

  • The fridge unit is a second vehicle

The unit is recorded against the vehicle as its own asset, with its own service dates and defect history, so it stops inheriting an interval that was set for a chassis.

    Maintenance and roadworthiness
  • Doors, seals and insulation nobody inspects

Checks carry the items you put on them, so seals, doors, insulation and the unit itself can be part of the daily round rather than things noticed when a load is rejected.

    Walkaround checks and defects
  • Compliance records in one place, temperature records in another

Everything FleetOptix holds — checks, defects, inspections, incidents — sits against the same vehicle, so the compliance half of the story is in one place and ready to export when a customer or an examiner asks.

    Incidents and reporting
  • Customers who audit you

Driver licence, CPC and medical records sit on one driver record, so the evidence a retail customer's audit asks for comes from the same place as the evidence an examiner would.

    Drivers and licensing
  • Night loading, early starts, thin checking

Shifts, runs and service dates sit on one calendar, so a vehicle or a unit due for attention is visible before it is committed to a delivery window.

Who it is for

The people doing this job

  • Transport managers

Named on the licence, and usually the person a customer escalates a temperature complaint to as well.

    What is transport manager?
  • Engineering and fridge technicians

Servicing units that run to hours rather than miles, often through a specialist contractor whose records sit outside the operator's system.

  • Quality and technical managers

Answering customer audits and food safety questions, from records held by the transport office.

  • Drivers

Pre-cooling, loading to a window and completing a first-use check against a departure time that was set by the customer.

    What is walkaround check?
  • Depot managers

Running one site of several, needing their own vehicles and units without a view of everybody else's.

    What is operating centre?

Questions

What refrigerated transport operators ask

Does FleetOptix log or monitor load temperature?
No. It does not read, log or monitor temperature, and it is not a telematics platform. Temperature recording stays with your recorder or telematics supplier. What FleetOptix holds is everything around it — the unit as an asset with its own service history, the checks, the defects and the vehicle's compliance record.
Can the fridge unit be tracked separately from the vehicle?
Yes. The unit is recorded against the vehicle but with its own service dates, defect history and record, so it is not serviced on an interval that was set for the chassis.
Can we add our own items to the daily check?
The check carries the items you need on it, so seals, doors, insulation and unit condition can sit alongside the roadworthiness items rather than being remembered separately.
Does it help with ATP or food safety certification?
Not directly. FleetOptix is not a certification system and does not issue or manage ATP documentation. It holds the vehicle, equipment and driver records that an audit will ask to see, which is usually the part that is hardest to assemble.
Does it analyse tachograph data?
No. FleetOptix does not download, analyse or interpret tachograph data and does not calculate drivers' hours compliance. It holds the records around it — the driver file, the briefing and the infringement follow-up.
